How to share a directory on your C: drive - Not allowed at PeopleSoft

Document number: 50011

Although sharing a directory on your hard drive is possible, PeopleSoft does not recommend this function for security reasons. The sharing of all or part of your hard drive, without applying appropriate security permissions, is a violation of the Information Security Policy, which can be reviewed here.

Your alternatives at this time are:

If neither of these alternatives is viable, you may share a folder on your hard drive, providing you apply appropriate permissions to restrict who is able to access your hard drive and data.you need to share a folder on your hard drive, you must apply appropriate security permissions to the folder. To create a share that is permitted within the Information Security Policy, follow these steps:

  1. Open Windows Explorer by right-clicking on the Start button, and click Explore.

  2. Browse to the folder you want to share.

  3. Right-click on the folder, and choose Sharing...

  4. By default, the "Share name" -- what other users will call this share -- is the same as the folder name. You may give the share another name. (For ease of use and connecting, you should use a single word, with less than 12 characters, and no spaces. The share name will not be case-sensitive, however.)

  5. You may use the "Comment:" field to enter a short description or other information about this share. (This field is optional.)

  6. Click on the Permissions button.

Note: By default, "Everyone" has full access. This must be updated (in Step 13), otherwise, this share violates PeopleSoft's Information Security Policy. You will need a list of the network login ID names for each person you want to add to this folder. (Ask the other user for their network ID name. For information on how they can find their name, see Eureka! document 55125 — Network Name.)

  7. Click Add to add users to the list of those who have access to this folder. You must also Add your own network ID to this list, or you will lose access when this share is created.

  8. Enter each name, separated by semicolons, in the format of peoplesoft\networkID. (For example, peoplesoft\pgeorge; peoplesoft\jdax; peoplesoft\fd8675309...)

  9. Click Check Names. This will verify the names you have entered against the network directory. If there are two or more people with similar names, you are asked to highlight the correct person, and click OK.

  10. When all names are entered and checked, click OK.

  11. The names you have entered appear in the "Name" area of the "Share Permissions" window.

  12. Review the permissions for each person, by clicking on their name in the "Name" window. The permissions for each person are shown in the "Permissions:" box below. Update the permissions based on whom you wish to grant only READ access, or CHANGE (read, write, and DELETE) access. You should not give FULL ACCESS to anyone except you own name.

  13. Highlight the "Everyone" entry, and click the Remove button. (This is to remove anyone else from accessing this share, and is also required for Information Security Policy compliance.)

  14. When you finish, click OK to close this window and return to the Share window.

  15. Click OK to close the Share window.

You have now created the share, and will see a hand symbol () under the folder to indicate it is being shared. To stop sharing the folder on your C: drive, see Eureka! 50012 — How to stop sharing your C: directory.
