How to review or edit a document in Documentum

Documentum's Desktop Client security allows you to either edit a document or review a view only version of a document (assuming you have the appropriate security level). For information on reviewing a document in Documentum without making changes, see the Reviewing a document section below.

To edit a document:

  1. Open Windows Explorer or Desktop client and log in to the appropriate docbase. For more information, see Eureka! document 18081 — How to log in to Documentum.

  2. Locate and select the desired document to open it. For information on locating a document in Documentum, see Eureka! document 18243 — How to browse or search in Documentum.

  3. Click the File menu and select Check Out.

  4. When you check out a document, the document is copied to your Local Files directory. This locks the document in Documentum so other users cannot edit the document until you check it back in. A key will appear next to any document that you have checked out. A padlock will appear next to documents checked out by other users. This indicates that the document is locked and cannot be edited at this time.

    To unlock a document that you have checked out without making changes, click the File menu and select Cancel Checkout.

  5. Make any necessary changes.

  6. When you are done updating the document, click the File menu and select Check In. This saves your changes back to the docbase and unlocks the file.

  7. To avoid overwriting the previous version of this document, select a revision number.

  8. Documentum allows you to create new versions of documents, while retaining previous versions. It also tracks when the documents were revised and by whom.

 

 

 


Reviewing a document

Follow the steps below to review a document in Windows Explorer or Desktop Client:

  1. Open Windows Explorer or Desktop client and log in to the appropriate docbase. For more information, see Eureka! document 18081 — How to log in to Documentum.

  2. Locate the desired document. For information on locating a document in Documentum, see Eureka! document 18243 — How to browse or search in Document.

  3. Double-click the document to open it. When the Open dialog box appears, click View.

  4. Or, you can click the document to select it. Then click the File menu and select View.

  5. A read-only version of the document will open.
