How to create labels from Vantive

One of the common uses of Vantive is for creating mailing labels. This is a multi-application solution involving Vantive, Microsoft Excel, and Word.

The first process is to extract the required information from Vantive.

Log in to the Vantive system:

  1. From the menu bar select File, then Open from the menu groups and select Site Information from the group items.

  2. Select Site Contact Locator from the actions available, and enter your search criteria. Click on the Search button to run the query.

  3. Once the query has finished, click on the Print button.

  4. From the Print Dialog box, click on the File option and select both the Column Headings and Use Comma Separated Format checkboxes.

  5. Type in a filename (i.e. C:\reports\addresses.csv — use the csv suffix), and click on the OK button to save the query results to the file specified.

This process extracts the desired information and saves it into a file on your local computer.

The next section will assume the use of Microsoft Excel 97. Excel will take the data from Vantive and output a format for Microsoft Word to print the labels.

  1. Launch Microsoft Excel 97.

  2. From the menu bar select File, then Open from the menu groups.

  3. Change directories to  the location in which you saved your file in the earlier procedure for Vantive.

  4. In the Files of type field, change the value to read Text files (which includes *.csv files).

  5. Once the file is open, from the menu bar select File, then Save As from the menu groups.

  6. In the Save as type field, change the format to Microsoft Excel Workbook (*.xls).

  7. Enter a filename (i.e. C:\user\excel\addresses.xls).

Essentially, this step is necessary to put the "csv" file into an Excel format for Word to process mailing labels.

The process outlined here extracts the data from Vantive and imports the data into Excel 97. The last step in creating the labels is to import your Excel file into Word, merge the data, and print the labels.
