How to email a time report

Document number: 17274

There is functionality within Psynergy/FSCM Time and Expense to allow a manager to email a time report to his Lotus Notes email inbox or to that of another employee, or even to a customer.

Currently, only original time reports can be emailed. This means that any adjustments to the time report will not be reflected on the time report that is emailed.

  1. Log in to Planet PeopleSoft. For more information, see Eureka! Document 15270 — How to log onto Planet PeopleSoft.

  2. Locate the Planet Navigator on the left hand side of your screen.

  3. Click on the small navigation arrow beside Applications.

  4. Click on Financials (Psynergy/FSCM).

  5. Click on PeopleSoft Financials and Supply Chain Applications (Psynergy/FSCM).

  6. Navigate to Manage Expenses, Audit Expense Functions, Report, then Time Report.

  7. Either select an existing Run Control ID by clicking on the Search button, or create one of your own by Clicking on Add a New Value.

  8. Click on the magnifying glass next to next to Time Report ID in the Process Request Parameters box. You can search by Creation Date, Employee ID, Name, Period End Date, Time Report ID, or Time Report Status. Click on the magnifying glass below your Search By box to select the time report you would like email. Select the time report you desire by clicking on the row for that time report ID.

  9. Click on Run.

  10. Ensure that PSNT is selected as your Server Name.

  11. Under Type, select Email.

  12. Under Format, select PDF.

  13. Click on the icon to the right of the Format field. This is the Distribute To icon. Your employee ID will default in the Distribute To section. The ID Type should be User. Add or delete employee IDs to the Distribute To section by clicking on the Plus or Minus buttons to the right.

  14. Enter any subject line for your email and any message text by filling in the boxes for each.

  15. To send your time report to a customer, enter the non-PeopleSoft email address in the Email Address List box.

  16. Click OK.

  17. Click OK again.

  18. Click Run.

  19. Click OK again to be able to access the Process Monitor.

To check on the status of your request, click on the Process Monitor link. You can keep clicking on the Process Monitor as the process is being run. Once the Run Status is Success, go into your Lotus Notes to access your time report.
