Time Application FAQ
The following is the FAQ for general Time entry. To see the FAQ for Prior Period Adjustments, click the link below:
Where do I enter my Time Report?
Employees who are required to enter Time Reports must do so through
Planet PeopleSoft. Once logged in, click
Applications and you will see the
Time Reporting (Psynergy/FSCM) link. For additional information, see Eureka! Document
17206 — How to Log into Time and Expense.
What user ID and password do I use to get into the Time application?
Since you access the Time and Expense application through
Planet PeopleSoft, you have already logged in using your network user name and password. Once you are logged in to Planet, you will not need to enter another User ID or password to get into the Time application.
Where can I get detailed instructions for entering a new Time Report?
The Psynergy/FSCM Time Reporting Seminar OnDemand will help you become familiar with Time Reporting. For detailed instructions on how to create a time report, see Eureka! document
17208 — How to enter a new Time Report.
How do I report personal and other Non-Project related time?
Activities such as
PTO,
Floating Holidays,
Sick time or
Jury Duty no longer require a project ID and activity in order to report time. On the lower portion of the Time Report page there are several time categories listed. Enter the amount of hours spent in the corresponding day for each category.
Paid Time Off and Floating Holidays should only be reported in 8-hour increments. Half-day PTO reporting is not allowed. If you are not sure how to report your PTO, contact your manager. For additional information, see Eureka! document 17232 — How to report personal and other non-project related time.
How long after the end of a project do I have to report my time?
You have seven days after you roll off an assignment to report your time worked for that project. If you have delayed reporting your time to a particular project and you are no longer on the project , you will have to work with the Resource Specialist in your region to get your assignment date extended so you can complete your Time Reporting.
Do I need to enter a Time Report for my on-call pager service?
Yes. All pager pay requires a time report for payment. If Project ID #135430 is not in your list of project choices, you will need to submit a
NorthStar ticket requesting that you be given access to this Project ID. For additional information, see Eureka! document
17230 — How to use time reports to report pager pay.
How do I report Travel Time?
Since travel time is rarely billable to a customer, a project ID is no longer required to report non-billable travel time. Instead, use the Non-billable Travel line on the lower portion of the Time Report Summary page. Enter the number of hours for travel in the corresponding day.
Can someone else enter my Time Report for me?
Each employee is responsible for entering his own Time Report. In the event you are unable to enter your Time Report, your manager has access to do this for you. If you are unable to reach your manager, log a
NorthStar ticket requesting that your Time Report be entered for you. Be sure to state the reason why you are unable to enter your Time Report.

All managers automatically have access. Any further access will have to be requested via NorthStar and evaluated at that time.
What is the difference between Use and Inquire in the navigation for Time Reporting?
When using the navigation path for Time Reporting rather than the icons to move from page to page:
What are the Admin Project IDs to be used for?
A short list of general administrative project IDs has been set up for end users with preset time uses.
For additional information, see Eureka! document
17233 — Admin Project ID for Time Reporting
Do I need to report PTO on the HR Self Service application as well as on my Time Report?
No. Employees who are not required to submit Time Reports should report PTO on the HR Self Service application. When you submit your PTO on your time report, there is a feed that will push your PTO reported over to the HR system.
Can I enter time in quarter hour increments?
The time application has the ability to report time in quarter hour (.25) increments. However, this is
only to be used by PGS employees if their customers require that detail of reporting. All IT personal using the time application should report by the whole hour.
US and Canadian employees can only report 8-hour increments for PTO, Sick Time (Canada), and Floating Holiday.
Why do I have time reports showing 1901 dates?
When the conversion from RVDB to Psynergy/FSCM was processed, everything from 1/1/2002 forward was converted. This was done to allow Psynergy/FSCM to have a complete picture of 2002 activity. At the same time, a synchronization process was run between RVDB and Psynergy/FSCM for time entered in Psynergy/FSCM from 2/06/2002 to now because that time was being sent to RVDB for processing and adjustments. Between 2/06/2002 and 5/16/2002 (phase 2 go live), RVDB was the official record of Time and the only place one could create time report corrections. This conversion was necessary to bring all the time report corrections that were done in RVDB during this period over to Psynergy/FSCM.
The synchronization of February-May adjustments were loaded into Psynergy/FSCM using Prior Period Adjustment functionality. This time frame was coded with a header date of XX/XX/1901 to identify as a RVDB converted adjustment. 1901 was used because the weeks in 1901 mirror those in 2002. Each weekly time report that had a correction done has the corresponding 1901 month and day to identify which time reports actually contained the corrections.
If you see any time period with the year showing as 1901, it is from the synchronization process. You do not need to place a NorthStar ticket or make any corrections.
Note: When conversion was first done, there was one time report with a 01/01/1899 date. It was later determined that each week had to be broken out instead of bringing all adjustments done in RVDB between 2/6/2002 and 5/16/2002 into one header.
Why do I have time reports showing 1900 dates?
Any Project Manager Workbench Adjustments that are made to time reports will be updated to Time and Expense as a Prior Period Adjustment on a time report with a period end date of 01/01/1900. There will be zero hours on the time report, and the adjustments will show behind the Prior Period Adjustment link. It is possible to have more than one time report with a period end date of 01/01/1900, as each time a change has been made in Project Manager Workbench, a new 01/01/1900 time report will be created. This is OK.

Who can make a Prior Period Adjustment?
Only managers should make Prior Period Adjustments to Time Reports. In the event you are unable to reach your manager, log a
NorthStar ticket requesting assistance with a PPA. You should state that you are unable to reach your manager and need a Prior Period Adjustment.
My manager is unable to correct a Time Report I submitted yesterday. Why can't this Time Report be corrected?
Only reports that have been staged to Projects are available for PPA. The staging of time reports to Projects process occurs every Sunday after the noon PST time report submission deadline.
Online validations occur in both Time and Expense and Project Manager Workbench to prevent conflicting adjustments. It will disallow both kinds of changes to be made to the same original row of Time. This will eliminate numerous errored transactions.
Will Prior Period Adjustments be incorporated into T&E Reporting and Analytics and/or queries?
The Utilization Report shows all Time that has been submitted including Prior Period Adjustments. The Time Report will show up in the Cube by the date the time report was actually submitted, not when the time was actually worked. This means that late time reports will not show up for the week the employee actually worked. Prior Period Adjustments will update the week in which the original time report was actually submitted, not necessarily the week in the which the original time report was actually worked. For more information see the Report Facts on the Psynergy/FSCM Training Website.
The following queries can be used for Time and includes all time report corrections:
These queries actual pull data from a separate table, not from Production. This table is refreshed nightly from 11:00 PM PST - 1:00 AM PST. Access to these queries is by jobcode. All managers automatically have access. Any further access will have to be requested via NorthStar and evaluated at that time.
What fields can my manager correct on my previously submitted Time Report?
Managers are able to correct the following fields on a Time Report:
My manager corrected one of my time Reports. When I go into that report, nothing has changed. Why can't I see the corrections my manager made?
Once an adjustment has been made, you will not be able to see the changes on the original time report. Corrections can only be seen by opening up the Time Report used to perform the Prior Period Adjustment, clicking on the PPA link and viewing all corrections. Only managers have this access.
Why are the corrections my manager made to my Time Report not showing up in Project Manager Workbench or eReports?
If the corrections are not appearing in Project Manager Workbench or management reporting, it is usually because the Time Report used to access the PPA functionality and perform the corrections is still in a Pending status. This Time Report must be completed and submitted before the Sunday noon PST deadline to appear for downstream processing, such as Project Manager Workbench or eReports.
I need to have an error in my PTO reporting corrected. How do I do this?
PTO reporting errors must be corrected through Prior Period Adjustments by your manager. In addition, if the PTO hours have already been processed by HR, you will need to contact your HR representative to request a manual adjustment to your PTO balance. If the PTO hours have not yet been processed by HR, then only a PPA by your manager is required. Please contact your manager and provide the details to correct your Time Report.
To verify whether or not the PTO has been processed, look up your PTO balance through the HR Self Service application. If there is a Delete button available for the date(s) in questions, it indicates that the PTO has not been processed. If there is not a Delete button for the date(s), then the PTO has already been processed and a manual adjustment by your HR Representative is required.
What does the minus sign do in Prior Period Adjustments?
The minus sign will not remove an original row of Time. To remove an original row of time, you
must enter a zero in the quantity of hours field, overwriting the incorrect value. Then a negative row will be sent over to Project Manager Workbench. If you enter a negative number in this field, you will cause the process to error out. If you simply click on the minus button, you will make no change to the original row of Time. The minus button is just there to delete a row you are adding, if you decide you don't want to continue with the addition before saving it.
