Project Manager Workbench Rates for Per Diems

Document number: 16825

For proper billing, you will need to set up rates so that the proper expenses will be sent to billing. After the proper set up has been completed, it is important to review the output of both the per diem engine and the rates.

When calculating rates for per diems, you must keep in mind that there are two different components to consider.

  1. Creation of the rows to be billed:
When the hours worked by a consultant are priced, the system will evaluate the total number of hours worked per person per day. If the hours are greater than or equal to this minimum, a billable per diem row will be created for the full per diem amount. If the hours are less than the minimum, a billable per diem row for the 'amount billed below minimum hours' will be created. The BIL output row will have a resource category of TRAVL and a quantity = 1.

Here is an example of transactions below and assumes that the customer pays PS a per diem of $100 per day for this employee:

    INPUT
    PSOFT PROJ1 001 TLX CON LABOR 2/19 6 HRS
    PSOFT PROJ1 002 TLX CON LABOR 2/19 2 HRS

    OUTPUT
    PSOFT PROJ1 001 BIL CON TRAVL PERDM 2/19 1 $100 USD

The BIL output row will have the same activity as the source row. In some cases, the consultant may have worked on more than one activity in a given day. When this happens the output row will receive an activity from the Activity ID Override Field.

It is also important to note that the BIL output row is the result of the per diem engine and not the result of the contract lines rates.

  2. Actual Expense for Expense groups covered by Per Diems:
When ACT rows for actual expense are fed from Expense for consultants, the per diem engine will check the per diem setup for the team member and determine if that expense group is covered on that project by a per diem. If it is, then the raw cost rows will be marked as unbillable so Pricing will process them as unbillable.
