Name resolution when composing a message in iNotes Web Access

Note: Lotus iNotes (Webmail) is currently in beta testing mode only and is not available to the general PeopleSoft population. The pilot is currently closed and is not being expanded to include additional users. Look for communications via OneVoice regarding iNotes (Webmail) in the future.

The automatic type-ahead feature that is commonly used in the Lotus Notes client is currently not available when composing new messages or replies in iNotes Web Access. A manual type-ahead check can be done or the PeopleSoft Directory or personal Contacts list can be used to address the message.

Although the type-ahead feature is not automatic using iNotes, the manual type-ahead check resolves the name very quickly as well.

To use the manual type-ahead check:

  1. Click the New button from the current iNotes screen and select Message from the drop down list.
    OR
    Open a message and click the Reply button if additional names need to be added. Then select which Reply option is desired.

  2. Begin typing the name of the person or group that the message will be sent to in the To:, cc: or bcc: field.

  3. Click the Check name(s) icon (head with green check mark) to the left of the field the name is being entered. The icon can be selected when a full or partial name is entered as well as a single or multiple names.

The name entered should be resolved correctly.

The PeopleSoft Directory or personal Contacts list can be used to address messages in a similar fashion to using them with the Lotus Notes client. A good reason to use this method is to ensure that the spelling of a user name is correct.

To address a message using the PeopleSoft Directory or personal Contacts list:

  1. Click the New button from the current iNotes screen and select Message from the drop down list.
    OR
    Open a message and click the Reply button if additional names need to be added. Then select which Reply option is desired.

  2. Click the To:, cc: or bcc: link to use the PeopleSoft Directory or Contacts list for selecting a name or names.

  3. Select Addresses window:

    • Search: Click the down arrow if the wrong directory appears. Single click on the correct directory to select it.
    • Find: Enter the name or partial name of the person or group that the message will be sent to. Be sure to enter a person's last name as the search is done by last name.
    • Results window: Single click on the name the message will be addressed to and click the To:, cc: or bcc: button depending on which field the name should appear in.
    • Click the Exit button when all names needed have been selected from the directory.

The name(s) will now appear in the field selected in the new message header.
