How to set up offline access in iNotes Web Access

Note: Lotus iNotes (Webmail) is currently in beta testing mode only and is not available to the general PeopleSoft population. The pilot is currently closed and is not being expanded to include additional users. Look for communications via OneVoice regarding iNotes (Webmail) in the future.

Working offline in iNotes Web Access is very similar to working in Island (Disconnected) mode in the Lotus Notes client. A local replica of the mail file must be created prior to being able to work offline. The mail files can be kept in sync by using the iNotes Sync Manager.

Note: If the Lotus Notes and network password are not the same, when switching to the online or offline mode, a window will appear when trying to synchronize files. It is recommended that the Lotus Notes password be changed to match the network password. When offline services in iNotes Web Access is set up, a schedule to automatically synchronize the files is created. For information on changing the synchronization schedule, see Eureka! document 16150 — How to change the synchronization schedule for iNotes Web Access.

 

 

 

 

 

 

 

 

 


To setup offline functionality in iNotes:

  1. Click the Go Offline button in the upper right hand corner.
    • A Security Warning may appear asking, "Do you want to install and run 'Lotus iNotes Web Control'..." Click Y es to continue.
    • The Go Offline page will appear. It informs the user their current status - online or offline.

  2. Click the Go Offline button and select Install Subscription... from the drop down menu.
    • A Lotus Notes Installer window will appear that says, "Installing this subscription will run software from this website on your machine. You are not using a secure connection so the identity of this site cannot be confirmed. Do you wish to install this subscription software from 'servername'?" Click Y es to proceed with the install.

  3. When prompted to enter the name of a new folder to install Lotus iNotes, click the S ave button so a new Lotus iNotes folder will be created.

  4. When prompted to enter the name of a folder containing the Notes ID, navigate to the c:\apps\notes\data directory, single click on the user ID and then click the O pen button.

  5. The installer will begin to install the subscription software and the Lotus iNotes Sync Manager will appear.
    • The synchronization could take up to 15 minutes.
    • When complete, an initialization window will appear that says "Browser settings have been changed to support offline applications. Please shutdown all browsers and restart your computer for these changes to take affect." Click OK.
    • NOTE: If the Lotus Notes and network passwords are not the same, a window will appear that says "Incorrect synchronization password for this subscription. Would you like to retry?" Click Y es to proceed. Enter the Lotus Notes (not network) password and click OK. The local replica of the mail file will be created.

  6. Click the Done button when the Lotus iNotes Sync Manager has completed.

The offline functionality has now been setup.

To work offline using iNotes Web Access after the offline functionality has been setup:

  1. Click the Go Offline button in the upper right hand corner.

  2. C lick the Go Offline button from the Go Offline page and select Synchronize Now from the drop down list.
    • This will ensure that the online and offline files are in sync and could take several minutes.
    • NOTE: If the Lotus Notes and network password are not the same, a window will appear that says "Incorrect synchronization password for this subscription. Would you like to retry?" Click Y es to proceed. Enter the Lotus Notes (not network) password and click OK.

  3. When the synchronization is complete, click the Go Offline button again and select Go Offline from the drop down list.
    • An Initializing Lotus iNotes window will appear with a message to please wait.

  4. If prompted, enter the User Name and Lotus Notes password (not network) and click OK.
    • The system has now gone offline and will automatically switch to the local replica of the mail file.

  5. When working offline, the following will occur when clicking the Send or Save button:
    • Sending a new message, reply or forwarded message: A Web Page Dialog window will appear asking, "Do you wish to save this message?" Click Yes so the document will be held to be sent when going back online.
    • Calendar entry: Entry will be placed on calendar. If the entry is also an invitation, the invitation will be sent when going back online.
    • To Do item: Entry will be added to the To Do list.
    • Contact: New contact will be added to the Contacts list.

When re-establishing a network connection and going back online, pending messages or invitations will be sent and the files should be brought in sync. It is recommended that a manual synchronization is done to ensure the files are in sync.

To go back online and synchronize the files:

  1. E stablish a network connection.

  2. C lick the Go Online button in the upper right hand corner.

  3. C lick the Go Online button from the Go Online page and select Synchronize Now from the drop down list.

The iNotes Web Access online mail file will load. Any pending messages or invitations will automatically be sent.
