How to archive calendar entries in Lotus Notes
Lotus Notes calendar entries are not included in the mail retention program; therefore, they will not appear in the Mail > 180 Days view even if the entry is older than 180 days. If archiving from the Mail > 180 Days view, calendar entries will not be archived.
Calendar entries do appear in the All Documents view and can be archived from there unless the calendar preference is set so that calendar entries do not appear in the All Documents view.

To archive calendar entries from the All Documents view:
Open the All Documents view of the mail file.
Select the calendar entries that need to be archived by clicking in the column to the left of each entry so that a check mark appears.
Select A ctions from the menu bar.
Select A rchive from the drop down menu and select S elected Documents from the next drop down menu.
A pop up window asking "Do you wish to archive the # selected documents now?" where # is the number of items selected will appear. Click Yes.
The calendar entries selected have been moved to the archive.

If calendar entries do not appear in the All Documents view because the calendar preference is selected, they will need to be archived from the Meetings view of the calendar itself.
To archive calendar entries from the meetings view:
Open the Lotus Notes calendar.
Open the Meetings view by single clicking on it.
Select the calendar entries that need to be archived by clicking in the column to the left of each entry so that a check mark appears.
Select A ctions from the menu bar.
Select A rchive from the drop down menu and select S elected Documents from the next drop down menu.
A pop up window asking "Do you wish to archive the # selected documents now?" where # is the number of items selected will appear. Click Yes.
The calendar entries selected have been moved to the archive.

To set the preference so that calendar entries do not appear in the All Documents view:
Open Preferences:
From the calendar: Click the Tools button and select Preferences... from the drop down menu.
From the mail file: Click the Tools button, select Preferences... from the drop down menu, click the Calendar tab and then on the Display tab.
Select Don't display Calendar entries in the All documents view of Mail in the Advanced section of the Display tab.
Click OK.
Future calendar entries will no longer appear in the All Documents view of the mail file.
