How to give Read access to the calendar in Lotus Notes

Document number: 16054

Reader access to the Lotus Notes calendar may be given to others so that they can read calendar entries only. Other documents or folders in the mail file will not appear to the person who has access to the calendar when the mail file is opened..

To give others Reader access to the calendar:

  1. Open the Lotus Notes calendar.

  2. Click the Tools button and select Preferences... from the drop down list.

  3. Click the Delegation tab and then click the Calendar Delegation tab.

  4. In the Read Access section, do one of the following:

    • Anyone can read my calendar: Click the radio button to allow everyone in the company to read the calendar.
    • Allow only the following people to read my calendar: This limits the people who can read the calendar.
      • Click the down arrow to select the names of the individuals or groups who should have Read access from the PeopleSoft Directory.

    • Note: The user must not remove their own name from any field on the delegation tabs. If the users name is removed, it will cause them to be locked out of their mail file so they cannot read, compose or reply to e-mail messages.

  5. Click OK.

The people listed now have Reader access to the calendar.

Note: If the error message "You are not authorized to perform that operation" is received when trying to delegate the calendar, contact Technical Support Operations so that the issue can be escalated to a Notes Administrator for resolution.

For information on viewing another user's calendar, see Eureka! document 16124 — How to view another user's calendar in Lotus Notes.
