How to set the free time schedule in Lotus Notes
Specifying the daily free time schedule in the Lotus Notes calendar allows others to know when a user is available for meetings. The default for free time is Monday through Friday from 9AM - 12 Noon and 1PM - 5PM. There is a break from noon to 1PM. Saturdays and Sundays are not included in free time by default. Any time not included in the free time specified will show as busy time when someone looks at the calendar to schedule meetings.
To specify the free time schedule:
Open the Lotus Notes calendar.
Click the Tools button and select Preferences... from the drop down list.
Click the Free Time tab.
In the 'My normal office hours are:' section, mark each normal work day by clicking in the box so an "x" appears and specify the work hours.
Example: If the normal work days are Monday through Friday from 8:00 AM. to 5:00 PM., with an hour lunch from 12 noon to 1:00 PM., the entry in the time field next to the day of the week would look like [8:00 AM - 12:00 PM, 1:00 PM - 5:00 PM]. Each block of time must be separated by a comma. The hour between noon and 1 PM will show as busy time.
Click OK.
The free time schedule has now been set.
If a calendar entry is created that is outside of the free time specified - on a weekend, for example - the message "This entry conflicts with an existing entry or your free time schedule. Create anyway?" will appear. Click
