Links to websites, both on the Internet and Intranet, can be placed into any Lotus Notes document. Links to directories or folders on a share drive as well can be created. The links can appear as the entire web address or path to the file share or they can be created as hotspots which can be a single word or phrase.
Creating a URL link that is the entire web address
Creating links as a hotspots
Prior to creating a link, verify that the User Preference is set to convert URL's to hotspots by doing the following:
- Select
F
ile from the menu bar.
- Select
Pre
ferences from the drop down list and select
U
ser Preferences... from the next drop down list.
- Scroll up in the
Additional Options window until
Make Internet URLs (http://.....) into Hotspots appears.

Check mark appears next to the preference: Nothing needs to be done.

Check mark does not appear next to the preference: Click to the left of the preference so a check mark appears.
- Click
OK to exit the User Preferences window.
Exit Lotus Notes and re-launch it to let the change take effect.
There are two ways to create a URL link using the entire web address:
- Copy the address from Internet Explorer:
- Go to the website that will be linked to.
- Highlight the entire address
including the http://.

Note: A URL link will not work if the http:// is not included as part of the link.
- Copy the address by selecting
E
dit from the menu bar and
C
opy from the drop down list.
- Paste the copied address into the text part of the document or e-mail by selecting
E
dit from the menu bar and
P
aste from the drop down list.
OR

Manually type the address into the document.
Note: If manually typing the address into a document or e-mail, be sure to
include http:// at the beginning of the address. Otherwise, it will not convert to a link when the document is saved or sent.
When the document is saved or sent, the address will automatically convert to a link provided that http:// is at the beginning of the web address.

Creating URL and directory links as hotspots is nice as the link can be hidden as a word or phrase. If the web address or directory path is lengthy, it looks much better to create the link as a hotspot instead of just pasting the address or directory path into the document.
To create a link as a hotspot:
- In the document or message, type the word or phrase that will become the hotspot.
- Highlight the word or phrase.
- Select
C
reate from the menu bar.
- Select
H
otspot from the drop down list and select
L
ink Hotspot from the next drop down list.

Type: Leave the default as URL. If this field is changed, the link will not work.

Value:

If link is a URL:
Paste or
manually enter the entire web address.

Note: Be sure that
http:// appears at the beginning of the address. Otherwise, it will not properly convert to an active link.

If link is a Directory link: Enter the
entire path including the server, folder and sub-folders to the directory where the document is stored.

Note: Do not include the document file name itself in the link path. Let the recipients know what the file name is so that they can then open the document from the location the link opens for them.
When the document is saved or sent, the hotspot will automatically convert to a link provided that http:// is at the beginning of the web address.
