How to approve competencies of your direct reports (managers)

Note: Some employees get an Approve All and an Approve Evaluation button at the bottom of their competencies list. DO NOT click those buttons. See Eureka! document 15214 — Accidentally approved your own evaluation.

Once an employee submits his or her competency self-evaluation in Competency Management, the employee's manager (you) must approve the evaluation. The manager receives an email notification that a submitted evaluation is awaiting approval. To approve the competencies, follow these steps:

  1. Log into Competency Management.
  2. From the Tasks list, click on Approve/Review Competencies.

  3. Click on the name of the direct report for whom you wish to review competencies. The email notification you received tells you the name of the employee.
    • An icon of a small org chart next to a name indicates that that direct report has employees reporting to him or her as well.

  4. If any competency ratings on the list have already been approved, a checkmark appears in the box in the "Approved" column for that skill. If the evaluation as a whole has been approved, all of the boxes are grayed out.

  5. When you begin the process of reviewing the competency evaluation, it is recommended that you start by locating any competencies that have a "0-No Proficiency" rating and deciding whether to keep the competency in the evaluation or delete it. You can delete it by clicking in the checkmark on the far right of the competency listed.
    • After choosing the competencies for deletion, you can remove them from the evaluation by making sure that the Approved column for those competencies is not checked and then clicking on the Save As Draft button.

  6. As you continue the process of reviewing your employee's competencies, click the Approved box for each skill to approve the ratings that appear.
    • If you agree with all of the skills ratings, you can click the Approve All button. Please be aware, however, that it is not uncommon for several hundred items to appear on the list, so use care in clicking this Approval All button.
    • If you do not agree with the rating, do not click the Approved checkbox for that competency. You will need to discuss with your direct report that particular competency and come to an agreement as to its rating separately. You should not click on the Approve Evaluation button until you have approved all the competencies showing. You may click the Save As Draft button at any time to save the work you have done so far.
    • Note: You cannot leave any skill rated as " 0-No proficiency" on the list when you approve the evaluation, so it is recommended that you remove them before you click on the Approve Evaluation button. You may wish to discuss these items with your employee as they may be highly interested in acquiring the skill and so left it on the list.
    • You may click the Save As Draft button at any time to save the work you have done so far.

  7. When you have finished reviewing all of the competencies and are satisfied with the results, click on the Approve Evaluation button.
    • If there are still open issues with the evaluation, or you are not able to complete the evaluation during the current session, click on the Save As Draft button. The evaluation will not be available for use in the Resource Management system until you approve it in a future session.

 

The competencies will be available for use in the Resource Management system once the evaluation is approved.

If you or the employee need to make subsequent changes to the employee's competencies after you have approved the current evaluation, click on the Create New Evaluation button to generate a new evaluation. The new evaluation will have all of the competency information from the current evaluation. From there you can make updates.
