Encrypting mail in Lotus Notes

Encrypting messages helps to ensure that only the people specified can read them. If a message is encrypted, the information is scrambled and can only be read by the people intended.

 


To encrypt message on a per message basis:

  1. Create the new memo.

  2. Click the Delivery Options... button prior to sending the message.

  3. Click in the box to the left of Encrypt so that an "x" appears.

  4. Click OK.

This message will be encrypted when sent. The recipient will see the message 'Decrypting document' on the task bar when the message is opened.

Note: External email cannot be encrypted.

To encrypt all message s:

  1. Create the new memo.

  2. Click the Delivery Options... button prior to sending the message.

  3. Click in the box to the left of Encrypt so that an "x" appears.

  4. Click the box to the left of Save these security options as the default for future messages so that an "x" appears.

  5. Click OK.

This and all future messages will be encrypted when sent. The recipient will see the message 'Decrypting document' on the task bar when the message is opened.

OR

  1. Select File from the menu bar.

  2. Select Preferences from the drop down menu and select User Preferences... from the next drop down menu.

  3. Click the Mail and News button on the left side of the User Preferences pop up window.

  4. Click in the box to the left of Encrypt sent mail in the Sending section so that a check mark appears.

  5. Click OK.

This and all future messages will be encrypted when sent. The recipient will see the message 'Decrypting document' on the task bar when the message is opened.

Note: External email cannot be encrypted.
