Spell checking in Lotus Notes

All messages can be spell checked prior to being sent. You now have the option to have the spell checker automatically check all messages prior to being sent or you can select specific messages to spell check. If you choose to have all messages automatically checked, there is an option to "Send As Is" in the event you do not want it to run on a message.

 

 


To spell check all new messages prior to sending them:

  1. Open your mail file.

  2. Select Tools from the action bar and select Preferences... from the drop down menu.

  3. On the Basics tab, click the box to the left of Automatically check mail messages for misspellings before sending so that an "x" appears.

  4. Click OK.

A spell check will be done on all new messages prior to being sent.

To do a spell check on a per message basis:

If you do not have the mail preference set to automatically check spelling on all new messages, you can still do a spell check on a per message basis.

  1. Create the memo.

  2. Before sending, select Delivery Options....

  3. Click in the box to the left of Auto spellcheck so that an "x" appears .

  4. Click OK.

The spell checker will check this message when you send it.

Note: Selecting the auto spellcheck in this fashion will not set the auto spell check preference. It checks the specific message only and will need to be selected for any other messages you want spell checked. If you want all messages to be spell checked, follow the instructions in the "Spell Checking All Messages Before Sending" section above.

Spell checking options:

If a word is not recognized when the spell check is processing, the Spell Check dialog box will pop up.

There are a few options when the Spell Check dialog box appears:

If a list of optional words/spellings appear in the Guess box, highlight the proper spelling of the word by single clicking on it and click Replace.

If the correct spelling is not listed, but you know the correct spelling, manually type the word in the Replace window and click Replace.

Click the Add button and the word will be added to your dictionary. The next time you type this word, the spell checker will recognize it as being correct.

Click Skip to bypass that instance of the word. Click Skip All to bypass all instances of that word.

Click the Send as Is button.

Click the Stop button. If you click Stop, the note will not send and will still be in edit mode.

To manually add words to the dictionary:

You do not need to wait until you run the spell checker on a new message to add words to your dictionary.

  1. Select File from the menu bar.

  2. Select Preferences from the drop down menu and select User Preferences... from the next drop down menu.

  3. In the Display Options section, click the User Dictionary... button .

  4. In the New/Selected word window, type the new word and click Add.

  5. Click OK.

The word will now be recognized when the spell checker is activated.

You can also delete or update words by highlighting the word and clicking on the appropriate button.

To bypass the automatic spell check:

If your mail preferences are set to automatically spell check all messages prior to being sent, you can bypass the spell checker if you choose.

  1. Create the new memo.

  2. Click the Send or Send and File button to send the message.

  3. When the Spell Check window appears, click Send As Is to bypass spell checking the entire message.

The message will be sent as is even if spelling errors exist.
