How to get access to a Lotus Notes database

In most situations, a user must contact a database manager in order to gain access to a Lotus Notes database. The manager determines which individuals and groups should have access to the database and at what level.

Determining the name of a database manager.


NOTE:
There is an exception to contacting the database manager for access to a database. Specific corporate databases require a user to be in a PS-Staff group before they can be accessed. The corporate databases that require a user to be in a PS-Staff group are PeoplePeople Talk, PeopleSoft InfoCenter, PeoplePeople Directory and the Reservations databases. The database manager should not be contacted for access to these databases. When a new employee is hired, they are put into the Awaiting Emplid group and not into a PS-Staff group. Once the employee ID is assigned, they will be removed from the Awaiting Emplid group and placed into the appropriate PS-Staff group. A user will be able to access the corporate databases once they are in the PS-Staff group.

 

 

 

 

 

 

 


To determine who a database manager is:

  1. Open the Domain Catalog on the PSSearch server in Lotus Notes and click the by Title view.

  2. Type the name of the database and press the {Enter} key. Click on the title of the database to open the section listing the servers the database is located on.

  3. Double-click on a server to open the Database Entry form.

  4. Click on the Access Control List tab.

  5. The name(s) of the database manager(s) are listed in the Managers: field.

    • If nothing appears or no individual names are listed in the Managers: field, click here.

  6. Contact the database manager by e-mail or phone to be given access to the database. Only contact an individual to request access - do not contact a group.

The database manager will either add the user or instruct them which group to request to be added to via the Group Modification process. For information on how to submit a Group Modification request, see Eureka! document 12052 — How to use Group Modifications in NorthStar.

NOTE: The database manager should not be contacted for access to the following corporate databases: PeoplePeople Talk, PeopleSoft InfoCenter, PeoplePeople Directory and the Reservations database.

To open the Domain Catalog in Lotus Notes:

  1. Open Lotus Notes.

  2. Select F ile from the menu bar.

  3. Select D atabase from the drop down list and select O pen... from the next drop down list.

  4. Type PSSearch in the Server: window and click the Open button.

  5. Double click on Domain Catalog in the Database: window to open it.

The Domain Catalog database is now open.

If nothing appears or no individual names are listed in the Managers: field, a NorthStar ticket should be submitted by doing the following:

  1. Click the Database tab of the Database Entry form and highlight the following fields- Database title:, Database server:, and Database filename:.

  2. Select Edit from the menu bar and select Copy from the drop down menu.

  3. Launch NorthStar and log in.

  4. Click L og Service Ticket in the Submit Tickets section. Supply the contact information and click Next.

  5. Click the radio button next to Lotus Notes and click Next.

  6. Select Another problem not listed above in the What type of problem are you having? field.

  7. Type Who is the Database Manager for this database? in the Subject field.

  8. Click in the Description field. Select Edit from the menu bar and select Paste from the drop down menu.

  9. Click the Finish button and the NorthStar ticket will be submitted.

The My Ticket screen appears which shows the information for the submitted ticket. The ticket will be routed to the Notes Administrator. The user will be notified if more information is needed or when the ticket is closed.
